is a boutique furniture store in Toronto, specializing in high-quality home furnishings and home staging. We are seeking a highly organized and enthusiastic office admin to join our team. This is a dynamic role in a fast-paced environment that combines administration, sales support, showroom operations, and warehouse coordination. This role is essential in coordinating the administrative functions of our business and supporting the company's mission of delivering exceptional service.
Key ResponsibilitiesAdministration
• Complete daily office opening procedures and ensure the workplace is organized and ready for operations.
• Manage calendars, coordinate schedules, and handle incoming phone calls, emails, mails, and packages.
• Coordinate meetings, appointments, and company events.
• Prepare daily, weekly, monthly, and annual reports as needed.
• Word processing, creating spreadsheets, labels, presentations, and proposals.
• Welcome, direct, and assist visitors while providing a professional reception experience.
• Serve as the team's primary point of contact and provide general administrative support.
• Order and maintain office supplies, refreshments, and kitchen inventory as needed.
• Develop and maintain organized filing systems, accurate client records, sales documentation, and inventory records.
• Collaborate with team members to ensure efficient day-to-day operations.
• Maintain and update company website content as required.
• Assist with the pickup and delivery of small items, payments, and property keys.

• Assist with furniture layouts, floor plans, and design presentations to support the sales team.
• Coordinate furniture orders from purchase through delivery and installation, ensuring smooth execution.
• Communicate with vendors, manufacturers, and logistics partners to track order status and resolve issues.
• Manage client communications related to contracts, payments, deliveries, installations, and after-sales support.
• Maintain accurate inventory records, monitor backorders, and track product availability.
• Address delivery, product, and installation concerns promptly while ensuring a positive customer experience.
• Maintain organized records of furniture orders, warranties, and service requests.
• Provide administrative and operational support to sales and home staging teams as needed.
• Assist with social media content creation and marketing initiatives.
Qualifications
• Minimum of 2 years of relevant work experience.
• Post-secondary education in Office Administration, Business Administration, or a related field is an asset.
• Passion for furniture, interior design, and delivering exceptional customer service.
• Excellent organizational, time management, and multitasking skills.
• Ability to work independently and collaboratively in a team environment.
• Strong written and verbal communication skills in English.
• Proficiency in Microsoft Office (Excel, Word, and Teams) and QuickBooks; experience with Canva, AutoCAD, and other design software is an asset.
