Reporting to Regional Director & Finance Manager of Wapiti Regional Library, the Administrative Assistant is responsible for a wide variety of executive, administrative, & communication duties, including complex functions such as website maintenance. This is a bondable, confidential out-of-scope position. Must have thorough knowledge of automated office practices & superior communication/organizational skills. Must exercise independent judgement & initiative, within policy guidelines, while exhibiting tact, diplomacy, flexibility & ability to work cooperatively. Attendance at meetings required. DUTIES &
RESPONSIBILITIES: Perform administration tasks, including reception, mail, email. Receive inquiries from public & branch libraries. Order/maintain inventory. Prepare/maintain accurate electronic & print correspondence, directories, manuals, minutes, reports, files. Prepare for meetings, including presentation preparation & handouts, assemble & disseminate documents. Attend all meetings, record minutes. Communicate effectively with municipalities. Assist with payroll and data entry in Quickbooks. Maintain website & social media accounts. Create electronic newsletters. REQUIRED KNOWLEDGE,
ABILITIES
AND
SKILLS: Demonstrated superior office technology skills with accuracy & efficiency. Excellent verbal & written communications skills, experience taking meeting minutes. Accurate 60 wpm word processing, Microsoft Excel spread sheet & document layout skills. Thorough knowledge of software, i.e. Windows, MS Office, Adobe Acrobat Pro, desktop publishing, graphics software, e-mail, internet, multi-line phone systems. Working knowledge of website creation & maintenance. Valid Saskatchewan drivers license. Lift 45 lbs. Grade 12/GED & Office Education or Admin Assist certificate, or university degree & two years office experience required.
