We are seeking a detail-oriented and organized Legal Assistant to support our legal team in a fast-paced environment. Job Summary
The ideal candidate will possess strong administrative capabilities, excellent computer proficiency, and a solid understanding of legal procedures. Key Responsibilities
Legal Support & Court Documents
• Compile, serve, and file court documents according to provincial rules.
• Proofread, draft, edit, and prepare high-quality legal correspondence.
• Docket time accurately and save all emails and correspondence to electronic client files.
Calendar & Deadline Management
• Manage comprehensive calendars for the firm's lawyers.
• Book meetings, court appearances, consultations, and firm appointments.
• Track critical court dates, service deadlines, and filing deadlines using ticklers and reminders.
Financial Administration
• Execute monthly client billing and track financial updates.
• Collect monetary retainers from clients securely as needed.
• Process accounts payable, pay vendors, and manage other daily office bills.
• Handle file management while collaborating directly with firm accountants and bookkeepers.
Office Coordination & Leadership
• Train, supervise, and mentor junior administrative staff members.
• Open and close physical and electronic files systematically.
• Handle filing, photocopying, scanning, and general office administration.
• Provide client hospitality and reception support to visitors.
• Communicate effectively with clients, court staff, counsel, and third parties.
Qualifications and Skills
• Experience
Minimum of 5 years of experience as a legal assistant.
• Legal Knowledge
Working knowledge of _Family Law Rules_ and _Rules of Civil Procedure_.
• Compliance
Strong knowledge of Law Society office administration requirements and procedures.
• Technical Skills
Exceptional knowledge of Microsoft Office (Outlook, Word, Excel, PowerPoint) and Adobe Acrobat.
• Software Experience
Direct experience using Legal Accounting Software and DocuSign.
• Core Abilities
Ability to take initiative, set priorities, multitask, and meet tight deadlines.
• Communication
Strong interpersonal skills to communicate comfortably via telephone, email, and in-person.
